Job Summary:

We are seeking a highly organized and detail-oriented Member Services & Operations Coordinator to provide crucial support to our growing team. In this role, you will be responsible for managing schedules, coordinating programs, providing exceptional member services, and supporting our marketing and communication efforts. Location: 263 Route 17k, Newburgh, NY 12550

Hours: 32 - 36 hours M-F flexible schedule

Salary Range: 42,000 - 49,000 

Responsibilities

  • Scheduling and Calendar Management: Manage appointments, meetings, and program schedules; create and manage online events; coordinate program logistics.
  • Communication and Member Engagement: Handle phone calls, emails, and correspondence; manage member engagement and communication; conduct follow-ups and oversee new member onboarding.
  • Data Management and Record Keeping: Manage the association management system (NOVI) for member profiles, events, and invoices.
  • Document Preparation and Reporting: Create monthly reports, including spreadsheets and PowerPoint presentations.
  • Member Services and Support: Answer member inquiries and provide information; resolve member issues and conduct follow-ups.
  • Office Management: Order supplies, maintain equipment, and organize the workspace.
  • Financial Administration: Assist with invoices and basic tasks.
  • Program Support: Manage program registrations, logistics, and materials.
  • Social Media and Marketing Support: Assist with social media posts and email marketing.

 

Qualifications

Skills and Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with association management systems or similar programs.
  • Familiarity with online calendar and event management tools.
  • Social media platform experience (or willingness to learn).
  • Email marketing platform experience (or willingness to learn).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize effectively.  
  • Attention to detail and accuracy.  
  • Problem-solving and critical thinking skills.
  • Strong customer service skills.
  • Ability to work independently and as part of a team.  
  • Relevant administrative experience, preferably in a membership-based organization or similar environment.
