Customer support coordinator will interact with customers, process customer orders, liaison to account managers, finance, quality and manufacturing departments.

Responsibilities

  • Communicate with customer by phone and email on a daily basis
    1. Monitor contracted customers in salesforce after initial contact and follow up with phone call.
    2. Lead follow up (salesforce and trade shows)
  • Process customer purchase orders
    1. Prepare and process verbal purchase orders
    2. Process and monitor orders 
    3. PO entry 
    4. Updates to shipping schedule in software as necessary
    5. Send formal order acknowledgment and proforma invoice if applies
    6. Manage prepayments – credit cards, wire transfers, proforma invoices
    7. Communicate status of prepayments and pending orders within the departments 
  • Coordinate Return Material Authorizations
    1. Receive RMA Request from customer
    2. Coordinate request with quality department
    3. Communicate information back to customer (either issue RMA or request additional information)
    4. Provide status updates and RMA results to customer
    5. Enter RMA into software
    6. Communicate shipments delays and tracking information for both orders and RMAs
  • Report preparation
    1. Generate and distribute reports from sales software
    2. Basic analysis of account and customer activity using Salesforce and Excel
  • Coordinate trade shows 
    1. Logistics
    2. Ordering
    3. Lead management
  • Expense reports
    1. Assist account managers with processing of expense reports
    2. Seek out opportunities to assist account managers
    3. Receptive to occasional travel (to assist at trade shows)

  • Knowledge/Skills/Abilities
    1. Personable and professional
    2. Independent, motivated and conscientious
    3. Self starter, looks for practices and process improvements
    4. Comfortable multitasking and working under tight deadlines
    5. Computer skills, Microsoft office – excel proficiency, Access and SalesForce desirable

 

  • EDUCATION/EXPERIENCE:
    1. Bachelors degree or equivalent experience
    2. 3-5 years experience in a sales and marketing support function
